JOB TITLE: Event Coordinator

SUPERVISOR: Executive Director, SCPA and Member Engagement

QUALIFICATIONS:

  • Bachelor’s degree in event management, hospitality or related field is preferred
  • Three to five years of professional experience
  • Proficient in Microsoft programs, virtual meeting platforms, survey tools, and form builder programs
  • Excellent interpersonal, communication, writing, and problem-solving skills
  • Strong organizational and multitasking skills
  • Experience in organizing, scheduling and facilitating meetings and events

BASIC FUNCTION:

The Event Coordinator is primarily responsible for planning, organizing, and executing various events, ensuring they align with SCHA’s goals and objectives. This involves managing all aspects of an event, from initial concept to post-event evaluation.

DUTIES:

  • Coordinate all logistical aspects of events from registration, venues, catering, signage, event reminders and post event surveys.
  • Work with internal teams to determine event agenda, themes, and target audiences.
  • Manage event timelines, budgets, and checklists.
  • Secure venues, vendors, speakers, catering, and audiovisual needs.
  • Serve as the main point of contact for vendors and venues.
  • Develop event materials, including signage, name badges, programs, and reminders.
  • Handle attendee registration, communications, and inquiries.
  • Collaborate with communications team to promote events through various channels.
  • Provide on-site support during events to manage logistics and troubleshoot issues.
  • Evaluate event success and prepare post-event reports with recommendations for improvement.
  • Update and maintain accurate member information, contacts, or accounts in iMIS.
  • Manage event details in iMIS.
  • Develop surveys and forms as needed.
  • Other duties as assigned.
